B. Processing Activities
1. Website Hosting and Provision
Type and Purpose of Processing, Legal Basis: This website is hosted using services provided by IONOS. When the website is accessed, technically necessary connection and server log data is processed. This serves the secure, stable and technically reliable provision of the website. The legal basis is Art. 6(1)(f) GDPR.
Categories of Data: IP address, date and time of access, resource accessed, browser information, referrer information, technical status data.
Recipients: IONOS as hosting provider.
Storage Period and Deletion: Log data is deleted after 30 days at the latest.
2. Contact Form and Email Inquiries
Type and Purpose of Processing, Legal Basis: Data provided through the contact form is processed to handle and respond to your inquiry. The form requests your name, email address, subject and message. The inquiry is forwarded to VIDA AI by email. We do not intentionally store it separately in a website database. Where your inquiry relates to the initiation or performance of a contract, the legal basis is Art. 6(1)(b) GDPR. In other cases, the legal basis is our legitimate interest in properly handling inquiries under Art. 6(1)(f) GDPR.
Categories of Data: Name, email address, subject, message, and the content of any follow-up correspondence.
Recipients: VIDA AI. Emails are sent via the mail infrastructure at IONOS.
Storage Period and Deletion: Correspondence is generally deleted once the purpose no longer applies, at the latest after three years, unless statutory retention periods require otherwise.
3. Technically Necessary Session Function
Type and Purpose of Processing, Legal Basis: A PHP session is used in connection with the contact form. It serves CSRF protection, the temporary management of form states and validation messages, and protection against repeated submissions. This function is not used for advertising or behavioral tracking. It qualifies as strictly necessary storage under Section 25(2) TDDDG (German Telecommunications Digital Services Data Protection Act).
Categories of Data: Technical session data, such as session ID and form status.
Recipients: No external recipients.
Storage Period and Deletion: A PHP session typically ends when the browser is closed or after a defined period of time.
4. Analytics, Advertising and Tracking
As of this version, VIDA AI deliberately does not use any analytics, advertising or behavioral tracking technologies. Should such technologies be introduced in the future, this privacy notice will be updated accordingly before they are used. Where legally required, a consent mechanism will also be provided at that point.
5. Provision of Data and Automated Decision-Making
Providing your data in the contact form (see B. 2.) is not required by law or contract, and it is not necessary to enter into a contract. You are not obliged to provide this data. However, if you do not provide it, we cannot process your inquiry.
No automated decision-making, including profiling within the meaning of Art. 22(1) and (4) GDPR, takes place.

This privacy notice may be updated if the website, the technical services used, or legal requirements change.
